Article 1. Purpose of the SPX Awards

Through the SPX Awards, SPX (international non-profit association) highlights outstanding initiatives dedicated to improving the patient experience and promoting the dissemination of best practices. The annual ceremony serves as a forum for exchange, bringing together recognized experts to foster collective learning and innovation.

SPX Award winners receive an honorary trophy recognizing their commitment. Beyond this distinction, they benefit from exceptional visibility to showcase their initiatives through SPX activities, including the International Colloquium, SPX Talks, and other events.

Article 2. Theme

Applications are open to all healthcare sectors, both public and private, including hospital and non-hospital organizations. Each edition may define a specific theme and categories. Submitted projects must fall within the scope of the announced theme and categories to be considered eligible.

Article 3. Eligibility Criteria

The initiative must have been implemented or be in the active implementation phase during the year of the SPX Awards edition.

In addition, the initiative must:

• Demonstrate that patients and/or family members or caregivers have been involved in both the design and implementation of the initiative.
• Highlight the added value of patient and/or family involvement for healthcare professionals and explain how outcomes are measured.

Article 4. Jury and Selection Process

The Jury is composed of SPX members, patients, and external healthcare experts.

4.1 Selection of Finalists and Winners

• Jury members evaluate applications using a rigorous assessment grid that considers criteria such as practicality, interdisciplinarity, openness to cultural change, ease of adoption, and organizational leadership support.
• The Jury’s decisions are final and cannot be appealed.
• Jury members must maintain confidentiality and may not participate in, or be affiliated with, any project or organization submitting an application. Any Jury member with a conflict of interest must withdraw from the evaluation process.
• For all categories, the selection process is as follows:
  
  • The Jury selects the finalists and one winner in each category.
  • The Public Vote Award is determined through a public vote. Videos submitted by the finalists are published on social media for a specified period, during which the public may vote. Among the finalists who are not category winners, the initiative receiving the highest number of votes is awarded the Public Vote Award.
• Only one vote per person is permitted (verified by email address). SPX reserves the right to disqualify a finalist in the event of fraud.
• Jury selection sessions are recorded.

4.2. Special Rule

A single organization may submit a maximum of two initiatives, but may receive only one award.

Article 5. Prix et reconnaissance

5.1. Winners

• A personalized trophy.
• An invitation to present their initiative during an SPX Talk.
• A feature on the SPX HUB page of the SPX website.
• Healthcare institutions: A 30% discount on the following year’s institutional SPX membership. A non-member institution wishing to benefit from this discount will immediately become a member for the current year.
• Other organizations: A 30% discount on up to four registrations for the next SPX International Congress.
• Extensive promotion through SPX communication channels, social media, and events.

5.2. Finalists (Non-Winners)

Finalists receive:

• A feature on the SPX HUB page of the SPX website.
• A 30% discount on up to two registrations for the next SPX International Congress.

Article 6. Finalists’ Obligations

Finalists agree to:

• Submit a video of no more than one minute in either French with English subtitles or English with French subtitles. The complete subtitle text must be provided to SPX according to the instructions sent by email.
• Authorize SPX to publish and distribute the video.
• Obtain consent from all individuals appearing in the video.
• Participate in the awards ceremony, either in person or by providing a three-minute video presentation.
• Respond to media inquiries if requested.
• Promote their initiative within their networks.
• Share the best practices arising from their project.

Article 7. Timeline

Each edition follows an annual schedule including:

• Application submission deadline.
• Announcement of selected finalists.
• Video submission deadline.
• Awards ceremony.

Article 9. Personal Data Protection

Personal data are processed in accordance with applicable data protection legislation. Participants have the right to access, rectify, and object to the processing of their personal data.

SPX takes appropriate measures to protect personal data; however, internet transmissions involve inherent security risks.

Photographs will be taken during the awards ceremony. Participants who do not wish to appear in photographs should notify SPX in advance.

Article 10. Acceptance of the Rules

Participation in the SPX Awards constitutes full acceptance of these Rules and Regulations.

The Jury’s decisions are final and not subject to appeal.

SPX accepts no liability for disputes relating to intellectual property rights.
